Adding New Contacts Promptly

Purpose: To capture changes as they happen, preventing a backlog of updates.
How-To: Whenever you learn of a new "phone number detail," an updated email, or a change in a contact's role, open your "phone number list template Word" and make the correction immediately.
Word Tip: For quick navigation, use Word's "Find" (Ctrl+F) feature to jump to the contact you need to update.


Purpose: To ensure no new connections are lost.
How-To: When you acquire a new contact, make dataset it a habit to add them to your template as soon as possible.
Word Tip: For easy insertion, you can copy an existing row and paste it (right-click in the table, Insert Rows Above/Below) to maintain formatting, then simply overwrite the data.
Removing Outdated or Irrelevant Entries:

Purpose: To keep your list clean, manageable, and focused.
How-To: During your review, if a contact is no longer relevant (e.g., a past client, a temporary vendor, an old phone number that's definitely defunct), delete the row.
Word Tip: Be cautious when deleting. If unsure, you could add a column like "Status" and mark entries as "Inactive" or "Archived" rather than permanently deleting them.
